      Effective May 27th, the “A” (HHS ID) number will now display on Storyboard. If the “A” number shows None, please contact registration to to update the number.

      UACMM Website Updates

      Short demonstration videos with closed captioning for the Reg Intake/Covid Nurse and UAC Medical Intake have been added to the Website.  These videos can be used to orient new staff to the Reg Intake/Covid Test Nurse role and the Medical Intake Nurse role.

      Infection Status choice list update

      An infection status of none is now available in the infection status options.  The charge nurse can now select an infection status of none to clear all previous infections instead of deleting all previous entries. 

      Special Diet in Special Care Needs Row

      The Special Care Needs row has a new option of Special Diet.  

      If selected, the child will appear on the Speical Diet report that can be generated from the UAC Dashboard.

      UACMM Website Updates

      The UACMM Website has been updated. The Training Resources for clincial staff are now divided into sections based on tasks and activities done in each area, making the resources easier to find.

      UACMM Website as Homepage on Web Browser

      Effective Thursday May 13th at approximately 5am, the Web Browser Homepage will be set to the UACMM Website on a few of the LBCC Wows. The rest of the computers will be updated early Friday morning. This change will provide staff with easy access to the UACMM Website to view Training Materials and CareConnect Updates.

      ADT Single Label Print available again in the Intake and Exam Department

      The Single ADT Label from the Beaker Printers is now available again in the Intake and Exam Department. Due to build changes over the weekend, it was unavailable.

      UAC COVID-19 Surveillance Testing Action Needed Report now a Patient List Column

      The UAC COVID-19 Surveillance Testing Action Needed Report is now a Patient List column. This column is a dynamic column that will provide 5 prompts to assist clinicians in ordering the correct surveillance testing for a patient.

      • Discontinue COVID Q3D Order- This will display if a patient has a positive COVID PCR test
      • No 1X COVID PCR Result- This will display if a patient is in isolation and has not yet had a COVID PCR test
      • Wrong COVID Q3D Testing Ordered- This will display if there is a mismatch with the COVID-19 order (PCR/Antigen) and patient location
      • Order COVID PCR Q3D- This will display for a patient with 1 negative PCR in Isolation and no surveillance testing ordered (example- sibling of COVID positive patient)
      • Order COVID Antigen Q3D- This will display for a patient in the Main Shelter that does not have any COVID surveillance testing ordered

      New Content on UAC Reporting Dashboard

      Additional metrics have been added to the dashboard, including how many patients are currently on our Pending Discharge system list and how they are progressing through the discharge readiness checklist. Additionally, you can quickly see how many patients arrived overnight.

      COVID-19 PCR and Antigen Result Date/Value Columns Available to Wrench-In to MyLists

      There are now copies of the current COVID-19 PCR and Antigen Result columns available to wrench into user MyLists. These column copies display the result date before the result value (this is the opposite display order of the columns found in the UAC System Lists), which will allow users to sort the columns by date if needed.

      Discharge Readiness Report now available in Patient Lists

      This report is available when looking at any Patient List. If you don't see this report next to the UAC Overview, wrench it in. From this report, you can:

      • See what's on the readiness checklist
      • Check the status of each item on the checklist in the report sections
      • Quickly compare the current medications and the recent Ivernectin administrations to the prescription list - this is a helpful place for physicians to double check they've ordered any needed discharge medications without having to open the chart.
      • You can also see if there are still any outstanding Work List tasks for this patient.
      New UAC Reporting Dashboard Now Available

      All providers and nurses at UAC now have access to this dashboard, which we will continue to populate with specific reporting needs in the coming days. You can now run the "Today's Services" report ad hoc for an updated look at those key metrics like H&P needed and Follow Up needed. We also added our current census information at the top of the dashboard.

      An option for Acute Dental Care Need has been added to Special care needs section.

      Discharge Summary Update

      New Discharge Clearance section was added to the Discharge Summary note. The Discharge Clearance needs to be done before the patient leaves the facility.

      New Isolation Intake Nursing Protocol Panel

      There is now a new ISOLATION Intake Nursing Protocol Panel that should be used for all patients going through Medical Intake in the Isolation Tent, regardless of their COVID-19 Antigen result received at Registration Intake.

      All patients (COVID-19 Antigen positive and negative) will receive a one-time COVID-19 PCR test at Isolation Medical Intake to confirm their COVID-19 Antigen result. Patients with a COVID-19 PCR negative result will need to have COVID-19 PCR Surveillance testing initiated once the result is received. This panel should be accessed via the Intake navigator > Protocol Orders > Pref List > Nursing. The dynamic POCT Urine Pregnancy and Ivermectin panels utilize the same logic as the Intake Nursing Protocol Panel that is currently being used in regular Medical Intake.

      CHOC and UCI team Provisioning Access Instructions

      Step 1: CHOC/UCI

      Whenever a UCI or CHOC affiliated clinician/user wants to work at UAC Long Beach, the CHOC/UCI liaison emails SER@mednet.ucla.edu on the CareConnect team along with their credentials. List all new users, even if just one, on this spreadsheet template provided.
      1. Confirm spelling of each user name – This helps prevent corrections after the fact in multiple locations.
      2. Ensure first/last name listed under the appropriate column
      3. Include middle name or initial - This helps prevent duplicates and/or additional work to confirm if the user is the same person already in the UCLA AD database.
      4. Confirm email addresses are correct – This will help communicate the access information and forms via DocuSign.
      5. Enter the user role – This helps provision the correct template and email of the appropriate form to DocuSign
      6. Include the users start date – This helps prioritize the account creation.
         
      COVID Surveillance Testing "Crosswalk"

      Below is info to help when reviewing the System List columns and determining whether action is required for ordering/discontinuing surveillance tests:

      Surveillance tests should be ANTIGEN test.

      *For both populations, if a Negative/Not Detected patient turns Positive/Detected, surveillance testing needs to be stopped. Periodically reviewing the System List columns will help identify these changes.

       

      System list Column Updates

      A few subtle updates were made to three System List PAF columns yesterday evening:

      Last COVID-19 PCR Result & Last COVID-19 Antigen Result - The result values now displays first, instead of the date. This will ensure results of the same value sort together.

      COVID-19 Surveillance Testing Initiated - Because the COVID-19 PCR test can now be ordered as a surveillance test (see post above), we have updated this column to also show a green "check" if a PCR test was ordered for surveillance purposes. It will continue to display the green "check" if an antigen test is ordered for surveillance purposes.

      COVID-19 PCR test now orderable with an "every 3 days" frequency

      A new "Every third day" frequency is now available within the COVID-19 PCR order for surveillance purposes. Unlike surveillance testing in the main shelter (where COVID antigen tests are utilized for surveillance purposes), the patients in Isolation that require surveillance will have a PCR test performed. This surveillance order is also on the preference list for easy access.

      New Storyboard Update: Pregnancy Status

      Storyboard now displays a pregnancy status when a UAC patient receives a positive result. This will hide when negative or empty.

      Medical Intake and Clinic Workflow Updates

      Updates made to improve Medical Intake and Clinic Workflows, as well as tools to help manage services needed each day. Please see tip sheets for step-by-step instructions.

      Medical Intake

      • Nurses can now place certain orders Per Protocol, including treatments for lice and scabies, pregnancy tests, and COVID surveillance testing.
      • The new COVID-19 surveillance testing order automatically schedules a re-test every 3 days.

      Clinic Workflows

      • Physicians can now place a "Follow up" order that will create a Work List task for the patient to come back to the clinic when they specify in the order. These patients will automatically populate the clinic operations report "UAC Today's Services" explained below.

      Clinic Operations

      A new "UAC Today's Services" report will be delivered via email to a distribution list of people in charge of clinic operations every morning by 6:45 AM. This report details all the patients that are needed in the clinic that day for one or more reasons:

      • Need a H&P
      • Need a vaccine
      • Need a scheduled medication dose
      • Need a COVID surveillance test
      • Need a pregnancy test

      There is a new column on the System Lists for "Covid Surveillance Testing initiated," which has a green check mark for all the children that have the correct COVID-19 order that will automatically schedule a test every 3 days.

      There is now a "48H Discharged UAC" System List in the "Recently Discharged UAC" folder, which is an easy way to find any charts for patients who have left the facility in the last 2 days.

      New Pregnancy Result column in Patient List

      Now, you can see any patient's last pregnancy test result in Patient List.  The column is available in all three System Lists.  

      Note: an empty column means no pregnancy result was entered.

       

      Scanning an Armband now Opens the Chart for Everyone

      Any user can now scan a patient's armband from the Patient List, Unit Manager, or ED Manager activities to open their chart right to the Clinic Navigator! No more searching through the long patient list to find the right chart, just scan the armband!

       

      April 24, 2021

      Updates to System Lists, Including New Free Text "Bed Number" column
      • "Bed # - enter free text" column has been added. Double click on the column for the patient, and you can enter their bed number. This is helpful when coordinating with the blue shirts, who know where the patients are by bed number.
      • A column for "MMR & Varicella Vaccinations Given?" has been added that will display a green checkmark when a patient has had both of these vaccines administered. Note, this works whether these vaccine were given separately or in one combination shot.
      • "HHS number" column has been removed.
         
      A New Note for Urgent Care Visits makes documentation and reporting easier

      We have made another addition to the Urgent Care Workflow. Yesterday, we told you about a new flowsheet row at the top of the Clinic navigator, where either a nurse or a physician can indicate urgent care is needed and list a reason. Now, we finished out that workflow by adding a section for "Progress Notes" in this navigator that pulls in a SmartText for an Urgent Care Visit automatically.

      It is important that all nurses and physicians performing Urgent Care exams should know how to use this SmartText that defaults in the "Clinic" navigator.  It will also automatically pull in some information from the chart, including the Reason for Visit entered at the top of the navigator.

       

      Print one ADT Patient Label on demand from any WOW with Beaker printer!

      When collecting a Point of Care lab or labeling a paper document, sometimes you may need just one patient label. Now, you can easily print one label when you are on a WOW with a connected Beaker printer. While in a patient chart, under the More menu in the activity bar, find the "Label Print > Patient Labels" activity.

      UAC Clinic Navigator Update - Indicate when patient is in Urgent Care

      Clinic Navigator has been updated to remove some unneeded sections, like Doc Start and Chief Complaint. "Reason for Visit” section has been added. When a patient is being seen in the medical area for an urgent care visit, please Click "Yes" and type a reason in the free text box. Discrete checkboxes will be added once we have a good list of Urgent Care Visit reasons.

       

      Simplified number of System Lists to reflect new facility structure

      All but three system lists have been removed. The remaining represent the three departments: Intake and Exam, Main Shelter, Isolation Shelter. Now you can find ANY patient in the facility on one of these three lists.

      Updates to ED Manager Care Areas

      We have simplified the Care Areas in ED Manager. Now, there is a space for all patients that are currently in the Intake process. When Intake is complete, Drag and Drop them to "Ready for bed - Main Shelter" or "Ready for bed - Isolation Shelter." They will then be ready to transfer to their shelter unit. There is no need to transfer them back for an urgent care visit, the clinicians can find the patient anytime on Patient List!

      Temperature Flowsheet Added to Intake Navigator

      Now, there is a flowsheet row for "Temperature" in the Intake navigator so that anyone using this navigator can document the discrete temperature value. This flows to the nursing flowsheet and the Storyboard vitals.

       

      Arrival Info and Enter/Edit Results Now Available in Intake Navigator

      The Arrival Info section is now available in the Intake navigator, allowing registration users to document the arrival directly upon entering the patient's chart. Additionally, Enter/Edit Results has been added in case users need to add results as part of the intake process.

       

      Tap Badge Screen Updated with Customer Care Number and resource website QR code

      Customer Care phone number and resource website information has been added to wall paper.

      “Pediatrics-General” Defaulted for all notes created in UAC department

      No matter the note type or the workflow, all clinicians logged into our UAC departments will now have "Pediatrics - General" populate as the specialty. This saves a click for many users that needed to fill this out manually.

      This smart phrase can be used by the clinicians to document that patient has refused assessment or treatment.

       

      In Basket Pool created for Lab Result Acknowledgement/Review

      Send-out lab results now route to a new In Basket Pool (UAC Lab Results Routing Pool) for UAC clinicians to review. After reviewing the result, the clinician can click "Reviewed" to remove the result from the pool.

      A short list of UCLA providers have been granted access to this pool. Application teams should have access via the "Peoples and Pools I Manage" tool to grant users access to the pool ad hoc.
